Write the working budget in a named currency and record when quotes were issued. If you pay from another country, your bank’s exchange rate and transfer charges can affect the final amount. Do not treat a converted estimate as a supplier’s fixed price.

Separate the celebration and the trip

Create separate headings for venue and catering, planning and design, production, specialist suppliers, accommodation and travel. Mark which party contracts and pays for each item. A production quote cannot be compared fairly with a hotel package until you identify what each includes.

Read the exclusions

Ask for taxes, service charges, delivery, installation, removal and overtime to be shown or explicitly excluded. Record the deposit schedule and cancellation terms. Keep a separate allowance for choices you have not made yet, then review it whenever the guest count or design changes.
