Share the event date, exact venue address, programme and dress guidance in one place. Separate confirmed arrangements from suggestions. If accommodation is recommended but not booked for guests, say so clearly and identify who handles reservations.
Make travel responsibility clear
Explain whether transfers are arranged and where guests should meet them. Refer travellers to current official entry information appropriate to their nationality; do not distribute an assumed rule for every passport. Identify a contact for event questions and a separate contact for hotel or transport bookings.
Collect only what you need
Use a private reply channel for dietary and accessibility requirements. Avoid circulating guests’ personal details in a shared group document. Give the information sheet a version date and update the same link when timings change so guests can identify the latest instructions.
