Keep a decision record
After each call, circulate a short record of decisions, open questions and deadlines. Use one shared version of the design rather than several screenshots in different chats. Mark an item approved only after the responsible person confirms it.
Explain the effect of late changes
A change after fabrication begins can affect materials, supplier availability and installation time. Ask for the cost and schedule impact before deciding. If a request cannot be achieved within the venue conditions, discuss a workable alternative and record the revised approval.
