Prepare a list of decisions that genuinely need an in-person visit: the venue shortlist, material samples or a layout review. Send it before travelling so the team can arrange the right people and documents. A full calendar of meetings is less useful than a few decisions made with the necessary information.

Bring one current brief

Use the same guest estimate, budget scope and programme at every meeting. Photograph samples with permission and record names or references rather than relying on memory. Ask for technical and commercial answers in writing after the visit.

Leave with next steps

Before leaving Dubai, identify the decisions made, the items still awaiting approval and the person responsible for each. Agree the next remote review and the documents needed for it. Do not sign a venue or supplier agreement simply to finish everything during the trip.
