Agree an outdoor plan and a sheltered alternative with the venue before finalising the design. Check whether the second space can accommodate the actual tables, stage and guest routes. An available room is only a useful alternative when the production can fit and be moved in time.
Name the decision maker
Write down who assesses conditions, who authorises a move and the latest practical decision time. Discuss how flowers, furniture, sound and lighting would transfer. Confirm any extra labour or hire charges so the backup does not become an unplanned financial decision on the wedding day.
Communicate one revised programme
If the plan changes, issue one revised supplier schedule and guest instruction. Keep the entrance, catering service and key moments coordinated. The objective is to preserve a comfortable celebration; the alternative design may need different proportions rather than an exact copy of the outdoor setup.
