Ask the host to start where guests will actually arrive, then walk to the reception, dining area and restrooms. Note stairs, distances and changes of surface. Ask how a guest with limited mobility would make the same journey. A room panorama alone leaves these practical questions unanswered.

Show the working conditions

Request views of loading access, the supplier route and the proposed stage position. Have the venue explain setup hours and technical approval requirements. Ask for a measured plan after the call; a wide-angle video can make a space appear larger than it is.

Record open questions

Finish with a written list of the exact event space, access conditions and unresolved points. Confirm which items belong to the venue package and which need an external supplier. If an outdoor area is involved, include a tour of the alternative location before making a booking decision.
