A mood board establishes a direction; it does not specify every item that will be installed. Before you approve it, ask which decisions are final and which still need drawings, samples or a priced proposal. Keep a dated record of the agreed version so family members and suppliers work from the same document.
Review scale as well as colour
Request a floor plan that relates the stage, tables, dance floor and entrances to the actual event space. A beautiful reference can be unsuitable when reproduced at another scale. Discuss materials in natural and event lighting; a photograph on a phone is a useful reference, but cannot guarantee an exact colour match.
Make changes visible
Appoint one person to consolidate comments. If an approved item changes, request the revised drawing, cost and effect on the installation schedule before accepting it. Remote planning becomes easier when every change has an owner and a clear decision date.
